Privacy Policy

How we handle your information when you visit our website, request a quote, pay for a service or bring your vehicle to the studio — and the choices available to you.

1. Who is responsible for your information

Garage Knights operates an appointment-only automotive studio in Ottawa, Ontario, Canada. We are responsible for personal information under our control, including information handled for us by service providers. This policy explains our practices for this website, quote requests, customer communications, payments and studio services.

2. Information we collect

  • Contact and request details: your name, email, phone number, selected services, preferences and any notes or messages you provide.
  • Vehicle and service records: vehicle year, make, model, trim, colour, condition, relevant repair history, inspection photographs, agreed work, quotes, invoices and warranty information. We may need a VIN or registration details for a specific installation or product warranty and explain why when requesting them.
  • Payment information: payment amounts, transaction references, payment status and receipts. Square processes card and other supported electronic payments and collects the information needed for that transaction.
  • Consent and communication records: your consent choices, the wording presented, when consent was recorded, messages and withdrawal requests. Some phone calls may be recorded as described below.
  • Studio security footage: CCTV images of people and vehicles in monitored areas of the studio.
  • Technical information: IP address, browser and device information, page visits, referring pages, interaction data and submission records used for analytics, service operation and abuse prevention.

Please provide only information relevant to your request. Do not enter payment-card numbers, identity documents, passwords or security-device PINs in the quote form. Required fields are identified in the form; you may leave optional fields blank.

4. Detailgent, Square and other service providers

Detailgent: our embedded quote form sends the information you submit to Garage Knights’ Detailgent system to receive and manage your request. This includes your contact and vehicle details, service selections, notes and consent records. Submission evidence may include a timestamp, originating page, IP address and browser information. Software, hosting and communications providers help us store records and send requested communications.

Square: we use Square to accept payments and manage payment records and receipts. Square processes payment credentials through its payment systems. We do not request full card details through the quote form. Square’s independent payment, fraud-prevention and legal uses are described in its privacy notice for customers.

We limit information provided to service providers to what is needed for the relevant purpose and require appropriate protection for information processed on our behalf. We may share relevant information with product suppliers or manufacturers for an approved order or warranty registration or claim, with professional advisers where necessary, or where disclosure is legally required or permitted.

We do not sell customer personal information. Mobile numbers and text-messaging consent are not shared with third parties or affiliates for their own marketing or promotional purposes.

5. Vehicle photographs and social media

We may photograph your vehicle to record its condition, document work and support a warranty or service discussion. Those service records are distinct from promotional content.

With your separate permission, we may use vehicle photographs or videos to show our work on our website and on Instagram, Facebook and TikTok. Promotional permission is optional and is not a condition of service. We avoid publishing visible licence plates, names, faces, documents or other identifying details unless you specifically authorize their inclusion.

Social posts are public and may be copied or reshared by others. The platforms handle information under their own privacy policies. You can withdraw permission for future promotional use by contacting us. We will remove content under our control where reasonably possible, but cannot guarantee removal of copies or posts made by others.

6. Studio CCTV and occasional call recording

Our studio uses CCTV to help protect people, vehicles and property and investigate security incidents. We provide notice of monitored areas. Footage is accessed only where needed for these purposes and may be disclosed to police, insurers or advisers when necessary and lawful. We do not use security footage for promotional content.

We sometimes record customer calls to keep an accurate record of service requests and agreed instructions or resolve a concern. Before recording, we notify you, explain the purpose and seek your consent. If you prefer not to be recorded, tell us; we can use an unrecorded conversation or arrange communication by email.

Access to recordings is restricted. We retain footage and call recordings only as needed for their stated purposes, an incident or dispute, or a legal obligation. You may contact us to ask about a recording involving you or make an access request, subject to protection of other people’s information and applicable legal exceptions.

7. Quote updates, email and text marketing

We use email or phone to respond to your inquiry and manage agreed services. If you select the optional quote-text consent, we may send texts about your quote and related service arrangements. Marketing offers and news by email or text use the separate optional marketing consent; that consent is not a condition of purchase.

Message frequency varies and carrier message and data rates may apply. Reply STOP to stop texts. For help or to change communication preferences, email info@garageknights.com or call +1 (343) 503-0921. To stop marketing emails, use the unsubscribe link or contact us. We honour unsubscribe requests within the applicable legal time limit and retain limited suppression and consent records to respect your choices.

Stopping marketing does not prevent necessary non-promotional communications about work you requested, a transaction or a legal requirement through an appropriate remaining channel.

8. Cookies, website analytics and form drafts

The website uses Google Analytics to understand page visits and how visitors interact with the site. Analytics uses cookies and collects browsing, browser, device and approximate-location information. Google receives technical information when its service loads; Google states that Google Analytics 4 uses IP addresses to derive location at collection time and does not log or store them. See how Google uses information from sites that use its services.

You can manage cookies in your browser and use the Google Analytics opt-out browser add-on in supported browsers. Browser settings or extensions that block analytics requests can also limit collection. Clearing cookies or using private browsing alone does not prevent every analytics request.

The quote widget may temporarily remember vehicle information, service choices and draft notes in your browser’s session storage so you can resume after navigating or refreshing. This draft storage is separate from a submitted quote. Contact details, service addresses and consent checkboxes are not saved in that draft; you must enter contact details and choose consent again. Clearing site data removes a saved draft but does not delete a request already submitted to us.

The quote service also uses technical controls to prevent abuse. If a bot-verification check is presented, its provider may process browser and network information for that security check.

9. Storage, safeguards and retention

We use reasonable administrative, technical and physical safeguards appropriate to the information, including restricted access to customer records. No website, electronic transmission or storage system can guarantee complete security. If a privacy breach occurs, we assess it and provide notices required by law.

Our providers, including payment, communications, analytics and social-media providers, may process or store information outside Canada. Information processed abroad may be subject to that country’s laws and lawful access by its authorities. We remain accountable for information processed on our behalf; contact us for more information about relevant providers and safeguards.

We keep personal information only for as long as reasonably needed for the purpose for which it was collected, including active quotes, completed services, warranties, accounting, consent records and legal or dispute-related obligations. Retention differs by record type. We delete, securely dispose of or anonymize information when it is no longer needed, subject to legal requirements and backup cycles. A deletion request does not override a requirement to retain an invoice or other necessary record.

10. Access, correction, withdrawal and complaints

You can ask what personal information we hold about you, how we have used or disclosed it, request access, correct inaccurate information, or withdraw consent for an optional use. You may also request deletion of information we no longer need. Contact info@garageknights.com with enough detail for us to locate the relevant records.

We may need proportionate identity verification before releasing or changing records. We normally respond to an access request within 30 days, subject to lawful extensions and exceptions, and explain any refusal or extension. Withdrawal applies going forward; we explain if it affects a requested service or if some information must be retained by law.

Please raise a privacy concern with us so we can investigate. You may also contact the Office of the Privacy Commissioner of Canada. You do not have to waive that right to use our services.

11. Changes to this policy

We update this policy when our practices change and show the revision date above. Where a change requires further notice or consent, we provide it before using your information for that new purpose. The current policy is available here and through the website footer and quote form.
